Cleaning quote template

A quote that only carries a number is an argument waiting to happen. This one carries four things a number cannot: what is included, what is not, what the price is based on, and how long it stands. Fill it in on screen, print it, and get the bottom line signed.

Before you quote

  • Walk the property before you write a number
  • Decide the price basis: fixed, hourly or per visit
  • List the exclusions before the inclusions — they are the ones that bite

Before you send it

  • Send it the same day; quotes go cold in 48 hours
  • Follow up once, by phone, after three days
  • File the signed copy with the job

Exclusions do more work than inclusions

Nearly every dispute in domestic cleaning is about something the client assumed was included. Writing 'oven interior — quoted separately' costs you one line and saves an argument that costs a client.

The three exclusions worth naming on almost every residential quote are the oven interior, exterior windows above the ground floor, and moving heavy furniture. Add anything the property makes obvious.

Naming the price basis

Fixed price means a scope. Hourly means a clock. Per visit means a frequency. Saying which one applies, in a sentence, at the top of the quote, prevents the commonest misunderstanding in the trade — a client who thinks they bought a result and a cleaner who thinks they sold time.

On a first visit to a home that is behind, quote a one-off deep clean as its own fixed price and put the recurring rate underneath it. Blending them into one number is how a recurring round starts at a loss.

Validity and deposits

Thirty days is the normal validity for cleaning work. It protects you when wages or fuel move and it gives the client a reason to decide.

A deposit is worth asking for on one-off and end-of-lease work, where the slot is large and a cancellation cannot be refilled. On recurring work it usually costs you the booking.
